Overview

Expense Accounting

A skill for defining expense-only records with explicitly supplied tax treatment. Supporting-document justification remains a reviewer-held decision. Use it when an expense setup needs to separate recording, payment tracking and supporting-document decisions.

What it does

Expense Accounting defines the smallest useful expense-recording setup and builds artifacts only when requested. It starts with a short recommendation, while requested CSV, SQL DDL, JSON Schema and Notion mappings derive from one field list.

Tax is recorded rather than assumed. VAT registration alone does not establish a rate, taxable status, input-tax recoverability, tax-inclusive treatment or reverse-charge handling. Tax fields remain optional until the user supplies both a rate and a treatment. TDS belongs to an expense entry only when the business actually deducts it.

When to use - and when NOT to

Use it for an expense-only setup that needs explicit tax and document decisions. An expense entry is separate from a payment. Payment mode, date, reference, net payable, TDS and department are payment-stage facts and are not added to an expense-only setup by default. Requested payment tracking is a deliberate expansion of scope.

An absent invoice does not automatically justify an internal purchase document. Internal supporting documents require a transaction that would not normally produce a formal invoice, such as purchases from farmers or individual suppliers, wage sheets, or rent agreements and records. Document decisions stay with a reviewer.

Inputs and outputs

Inputs include confirmed expense scope, tax rates and treatments, and the actual supporting document. Document Type, Internal Support Justified and Justification record the supporting-document decision. A document-type label does not establish legal sufficiency. Requested artifacts preserve this distinction instead of treating every missing invoice as permission to create a substitute.

Source README

Works out the smallest useful Expense Accounting setup for the business in front of it, then
builds it only when asked. The default output is a short recommendation, not a
spreadsheet. Artifacts - CSV, SQL DDL, JSON Schema, Notion mapping - are produced on
request, from one field list so they cannot drift apart.

Tax is recorded, never assumed. Being VAT-registered does not tell you the rate, whether
the expense is taxable, whether input tax is recoverable, whether the amount is
tax-inclusive, or whether a reverse charge or another treatment applies. TDS is not part of
an expense entry at all unless the business actually deducts it. Every tax field in the
minimum schema is optional until a rate and a treatment have been supplied by the user.

An expense entry is not a payment. Payment mode, payment date, payment reference, net
payable, TDS and department are payment-stage facts. They do not appear in an expense-only
setup. If the user asks for payment tracking, that is a deliberate scope change and the
fields are added then, not by default.

The document must be the real document. Where no formal invoice exists, an internal
supporting document is defensible only where the transaction would not normally produce
one - purchases from farmers and individual suppliers, wage sheets, rent agreements and
rent records. The absence of an invoice does not automatically justify raising a
purchase "Kharche/Kharpai". Document Type, Internal Support Justified and
Justification exist to hold that decision, and a reviewer holds it, not this skill. No
label in the Document Type list makes any document legally sufficient.
