Overview

Day Book

A skill for defining day-book records and daily reconciliation controls. It distinguishes money movements from control totals and preserves the software-specific presentation. Use it when cash, bank and digital daily books require a consistent movement and closing structure.

What it does

Day Book defines a daily record structure that keeps individual money movements separate from daily control totals. It recommends the smallest useful setup first and produces requested CSV, SQL DDL, JSON Schema or Notion mappings from one field list. An advice request receives a recommendation rather than an unsolicited spreadsheet.

Debit and credit presentation follows the business's own software. The table does not hardcode a universal debit/credit pair or assume every receipt is debit and every payment credit. Debit/Credit Presentation records the configured labels, including Dr and Cr when those are the labels used. The underlying in/out amount columns and balance columns are the common record structure across cash, bank and digital books.

When to use - and when NOT to

Use it when a daily cash, bank and digital book needs both transaction-level records and an end-of-day reconciliation row. It is especially relevant when the software's presentation differs from a presumed debit/credit convention.

Do not mark a day Done with an unreconciled cash count or bank position, an unchecked duplicate control, a reconciliation status other than Reconciled, or a blocked entry. Closure requires a clean daily control row or a human review accepting a recorded difference. A single movement is not reconciled as if it were a full day.

Inputs and outputs

The business supplies its configured presentation, actual movements, balances and confirmed currency. Row Type distinguishes Movement from Day Summary. A Movement is one receipt or payment booked to exactly one book. Book Section identifies that book, and Mode records the instrument used. The movement's amount belongs in its own book's in/out columns; other books are not applicable. Opening balance is the amount brought forward to the entry, and closing balance is its running balance afterward.

A Day Summary is written once after the day closes. It books no additional money; it totals and proves the day. Book Section becomes All Books, and Mode is Mixed when instruments differ. Its in/out columns hold daily totals for all books, while balance columns hold their opening and closing positions. The balance identity must hold separately for cash, bank and digital.

Transaction Reference, Voucher Number and Party identify an individual entry on a movement row. On a summary they refer to the day's detail set. Duplicate Check addresses the individual entry or the whole daily set accordingly. Balance Difference and Reconciliation Status apply to the daily summary, not to an isolated movement.

Entry Verified is the workflow status, with choices for not started, in progress, blocked, done and cancelled. Money uses actual gross book amounts, tax-inclusive when the movement was tax-inclusive, without splitting tax out. Cells contain numbers without currency symbols, and currency remains Unknown until confirmed. Dates use ISO YYYY-MM-DD in date fields. Rounding occurs once, at the end, to two decimal places so components reproduce the daily totals.

Source README

Works out the smallest useful Day Book setup for the business in front of it, then builds it
only when asked. The default output is a short recommendation, not a spreadsheet. Artifacts - CSV,
SQL DDL, JSON Schema, Notion mapping - are produced on request, from one field list so they
cannot drift apart.

The rule this table exists to enforce: the debit/credit presentation of a day book depends on
the software's day-book format.
It is not a universal rule that all receipts are debit and all
payments are credit - some books present receipts on the payment side, some carry both columns,
some carry neither. So this table does not hardcode a Debit/Credit pair. Debit/Credit Presentation is a text field that records the presentation as configured in the business's own
software
, and the six in/out amount columns plus the six balance columns are the part that is
universal. Where a book labels its columns Dr and Cr, that label is what goes into
Debit/Credit Presentation; nothing in this table decides which side a receipt sits on.

Two row types, and they are not the same kind of thing. Row Type says which one a row is, and
the two are read differently.

Movement row Day Summary row
What it is one receipt or one payment one per day, written after the day is closed
What it books money, into exactly one book no money at all - it totals and proves
Book Section the one book it was booked to All Books
Mode the instrument used Mixed when the day's instruments differ
The six In/Out columns the amount in its own book, and the other two are not applicable the day's totals for all three books
The six balance columns brought forward, and the running balance after this entry the day's opening and closing balances
Transaction Reference, Voucher Number, Party the entry itself the day's detail set, not a single voucher
Duplicate Check this entry checked against the day's other entries the whole day's set checked
Balance Difference, Reconciliation Status not applicable - a single movement is not reconciled on its own the day's break, and the status of it

On a Day Summary row that identity must hold separately for cash, for bank and for digital. On
a Movement row, the opening balance is what was brought forward into that entry and the closing
balance is the running balance after it, in that entry's own book only.

A day is not Done while the cash count or the bank position is unreconciled. Neither is it
Done while Duplicate Check is Not Checked, or Reconciliation Status is anything other than
Reconciled, or while an entry is Blocked. Entry Verified is the workflow status
(Not started | In progress | Blocked | Done | Cancelled) and it moves to Done only when the
control row for that day is clean, or when a human has reviewed and accepted a recorded difference.

Money, dates and rounding. Amounts are the gross amounts that actually moved, exactly as
recorded in the business's books, tax-inclusive where the entry was tax-inclusive. This module
does not split tax out of a movement. Money is a bare number with no currency symbol in the cell,
and the currency itself is Unknown until the user states it. Dates are ISO YYYY-MM-DD in real
date fields. Round once, at the end, to two decimal places, so the day's components re-derive the
day's totals.
