Overview

Company Email & Accounts

This skill recommends a register for each person's work email, groups and tool accounts. It records actual security controls, access removal and review deadlines, then creates consistent empty templates when requested. Use it when tool accounts are scattered or leavers retain access because the register is incomplete. It records account information without creating or deleting accounts.

What it does

Company Email & Accounts recommends a small register tied to people records, covering work email, groups and tool accounts. Its workflow follows a joiner through account creation, tool assignment, departure, access removal and logging. The skill documents this process; it does not provision or remove accounts itself. It fits the Starter stage of onboarding.

It identifies whether the request asks for advice, a review, a build or conversion of an existing process. It asks only unanswered questions about systems, paid tools, administrators, backup administrators, account ownership, security requirements, shared logins, orphaned accounts and the desired outcome. Questions arrive one at a time; unknown answers stay unknown.

Access Removed Date must remain empty while an account is live. It records the day access was actually removed, never a planned departure. Active status with a removal date is contradictory and must be corrected. The module also requires an actual removal date for Closed and Pending Offboarding records before offboarding is treated as finished.

Two Factor On, Recovery Email Set and Password Policy Met record current facts. They must not be preset to true to close a ticket. An existing account can remain Active with a false security flag; the remedy is review, not relabeling it or disabling a control. Last Access Review records history, while Next Review Due supplies the deadline. A review is overdue when that deadline has passed and the last review is earlier. No review frequency is invented.

When to use - and when NOT to

Use it for a company email account list, work account register or tool account tracker, particularly when former staff still have logins. A review request receives a check rather than an unsolicited build. Payroll calculations, tax filing and legal advice are outside its scope. It provides no account automation, reminders or synchronization.

Inputs and outputs

The field list covers account identity, employee name, department, account type, work email, aliases, email groups, tool or system, licence type and cost, currency, creation date and creator, security flags, access review dates, removal date, handover recipient, status, notes and Account ID. Account type, licence type and status options are starting sets. Dates, currency and booleans retain their appropriate types.

Requested empty outputs include CSV, SQL DDL, JSON Schema, a Notion property mapping or an Excel workbook. All derive from one field list, preserving display names and documenting SQL identifiers. Excel-compatible CSV uses UTF-8 with a byte order mark and identifies columns needing formatting. A workbook is supplied only when requested; example records must be explicitly requested and synthetic.

Integrations

Notion output goes through notion-manual-import. Manual CSV and mapping delivery needs no connection; authorized workspace writes require verified tools and the target database. A mapping alone does not establish a completed workspace change.

Email Groups stays a comma-separated text list, and Handover To remains a person's name. Neither is a foreign key or a Notion relation to an invented directory. This name-based linkage can drift from the directory that owns people records. Sensitive review inputs are repeated only where necessary, and human review remains required for consequential privacy, legal or HR decisions.

People leave and their tool logins stay active for months.

Works out the smallest useful Company Email & Accounts setup for the business in front of it, then
builds it only when asked. The default output is a short recommendation, not a
spreadsheet. Artifacts - CSV, SQL DDL, JSON Schema, Notion mapping - are produced on
request, from one field list so they cannot drift apart.
